The Registrar’s Office is a department established at the institute to coordinate administrative and academic processes related to students. The main tasks of the office include admitting students, maintaining their personal and academic records, formalizing orders related to the educational process, as well as preparing diplomas and other official documents for graduates.
The Registrar’s Office activities are carried out in two directions:
Front office – direct service to students and applicants;
Back office – systematic management of internal documents, databases, and academic processes.
Front Office
Student Services Sector
- Providing information about class schedules;
- Issuing academic certificates and transcripts;
- Providing examination lists;
- Assisting in submitting applications for transfer and reinstatement;
- Providing students with information about their GPA;
- Resetting passwords for students in the “HEMIS” information system.
Scientific and Innovative Activity Services Sector
- Providing information about grants and competitions;
- Assisting in registering innovative ideas and start-ups;
- Providing students with information about named scholarships;
- Consulting on scientific projects;
- Assisting in joining the “Mentor-Disciple School”;
- Providing students with information about scientific clubs and practical assistance.
Accounting and Marketing Services Sector
- Determining, calculating, and presenting the tuition contract amount, as well as assisting in applying for a tuition contract;
- Determining and confirming payment amounts for retake courses for students with academic debts, assisting in applying for contracts for retaking courses.
International Relations and Academic Mobility Services Sector
- Issuing certificates of study in English;
- Registering and assigning courses to international students admitted for study in the electronic system;
- Providing information about the “El-yurt umidi” foundation scholarship competition for studying abroad and foreign announcements;
- Providing students with information about higher education institutions ranked in international rankings (QS, THE, Green Metric).
Back Office
Statistical Data Management Sector
- Analyzing statistical data on student progression from course to course, dismissal from the student body, and academic leave;
- Summarizing statistical data on students recommended for transfer and reinstatement;
- Preparing statistical data on university activities based on assignments and requests;
- Maintaining report forms submitted by the university to the Statistics Agency;
- Analyzing the accuracy of statistical data entered into the “HEMIS” information system.
Educational Process Coordination Sector
- Identifying students with academic debts;
- Forming academic groups;
- Organizing retake courses for students (creating course groups, class schedules, and control schedules, reviewing applications);
- Registering students in the system;
- Coordinating and formalizing student movements (dismissal, retention in the same course, transfer, academic leave and return, reinstatement);
- Summarizing and analyzing student academic performance indicators;
- Forming and updating student databases;
- Monitoring student attendance through the “HEMIS” system.
Student Document Management and Storage Sector
- Uploading extracts from orders of students who have changed their surname, taken academic leave, changed departments and faculties, been retained in the same course, or been dismissed from the student body into the student database;
- Delivering all necessary documents to students dismissed from the student body due to transfer to another higher education institution;
- Providing forms of strict accountability documents (diplomas, diploma supplements, academic certificates, etc.);
- Organizing the receipt, storage, and issuance of strict accountability forms (diploma forms, academic certificates, diploma supplements, etc.).
